Freeman Software's Electronic Document Imaging solution was originally written for a leading New Zealand Investment Manager. This Document Imaging solution saves this organisation hours a day by allowing users instant access to all of the company's scanned documents. The company scans all client applications, investments, switches and withdrawals.Freeman Software's Document Imaging solution, and its predecessors, are currently in use by two New Zealand companies (each with two subsidiaries), and three companies in Hong Kong. The largest of these is adding about 1 million documents (4-6 million pages) per year. Even with 2 million records and 100 users, records are retrieved within 1 second.
Of course, Document Imaging can be combined with Freeman Software's Customer Database for even tighter integration between customers and their documents.
The following shows a sample of the more user-oriented screens from Freeman Software's Document Imaging System.
Viewing a document
This screen is used to view a document, once selected on one of your indices. That's right, you define your image's indices. Indices currently used include: Policy Number, Client Number, Investor Number and Identity Number.
On the left is a list of all documents which match the search criteria, in this case policy number '1'. Different documents may be viewed by 'clicking' on the appropriate line.
The image shown on the right matches the line selected on the left. Where a document contains more than one page, all the pages are displayed in the form of 'thumbnails.' A thumbnail may be selected to view an entire page on-screen. Various zoom and rotate options are available as is the ability to edit the document's properties.

Document Properties
This screen is used to either view or edit the document's properties. These properties make the document easy to find in your database (eg; for a single policy) and from a selected list (eg; the policy's application form).
The indices are used to locate the document in the search screens. In the example we have entered a Customer Number and a Policy Number. That means that we can use either of these numbers to find the document. The index descriptions are centrally controlled to ensure that documents can be consistency found.
The Description, Type Code and Product Code are used to actually describe the document. The Type and Product codes are centrally described to ensure some consistency in the description of documents.
